About Us

Certain district facilities are available for rent to individuals and community organizations by the San Ramon Valley Unified School District.  The District works with local recreational agencies, the Town of Danville and the City of San Ramon to provide athletic fields, gyms, swimming pools and various other facilities for use by our community.  Each year there are many uses of the district’s premises by various groups. These groups include athletic leagues, non-profits, private, public and commercial entities.

The California Education Code, section 38130, known as the Civic Center Act and the San Ramon Valley Unified School District Board Policy govern use of the facilities by outside groups.

Please review all information on this website prior to requesting reservations on ActiveNet. There is important information and there are requirements that must be met before approval of any reservation requests.

FIRST TIME RENTERS

FIRST TIME RENTERS MUST READ:

SRVUSD has an online reservation request system, ActiveNet. First time users must create an online account at ActiveNet AND contact the Facilities Department at 925-824-1883.

  1. Create a user name and password.
  2. Contact us to have account activated. If your account is
    not physically activated by SRVUSD
    , you will not
    have full reservation request capabilities
    .

Certificate of Insurance

If your request to rent a facility is approved, proof of insurance is required prior to your event. All user groups must provide a Certificate of Insurance to the Facilities Use Department a minimum of 2 weeks before the scheduled event.  

The minimum insurance limits are $1 million for liability coverage for bodily injury AND property damage per occurrence with an aggregate limit of no less than $2 million and SRVUSD must be named as ADDITIONAL INSURED with Endorsement.

Please be sure to send the ADDITIONAL INSURED ENDORSEMENT page with the Certificate of Insurance. SRVUSD should be listed as the beneficiary on BOTH pages.  

IMPORTANT: If insurance documents are not received 2 weeks before event date, the application will be automatically dropped from the system and the request must be resubmitted.

Fee Schedule

San Ramon Valley Unified School District facilities rentals are charged an hourly rate - click here for Fee Schedule.

Please note:  Custodial charges may also be applied for rentals.  Please check with the Facilities Use Department  before your event.

Pre-Payment for Facilities Use

If your reservation request is approved, payment for facilities use is required before your event.   Payment can be made by check or credit card and must be received 2 weeks prior to your event.

How the Request Process Works - Using ActiveNet

Requests for facility use must be submitted no less than 2 weeks prior to your planned event.  ActiveNet will only accept applications made at least 2 weeks before the scheduled date.  

Inputting your information does not constitute an approved request; it is an application request for the dates and times. After your request has been reviewed, you will receive an e-mail notification that your information has been approved or denied.  If approved, you have permission to use the facility at the date/time you have requested providing the Facilities Use Department has your current Certificate of Insurance on file and payment has been made.

IMPORTANT FACILITIES USE INFORMATION

The use of fog machines or conducting other activities that may cause the activation of fire and smoke detection devices is strictly forbidden.  This includes the use of unvented cooking appliances, popcorn makers, etc.  The user group will be responsible for any fees incurred as a result of a false alarm.
BBQs are not permitted at any time.  

Use of Kitchens:

The use of kitchen facilities shall include the assignment of a food service employee to be on duty and in charge of said kitchen, including its equipment and serving facilities.  The food service employee will provide overall kitchen support and is there to assist you in locating items and to assist with the use and care of the equipment and appliances in the kitchen.  The user group will be charged a per hour rate as indicated on the fee scheduleThe Contra Costa County requires a Temporary Food Facilities Permit when food or beverage items are served (either sold or given away) to the public at a “community event.”    Permit information can be obtained online at http://cchealth.org/eh/retail-food/temporary-food.php or by calling Contra Costa County Environmental Health at 925-692-2500.
